Setup & onboarding
How long does setup take before I can start? ▼
Your test tenant is ready within 60 minutes of signup. You can then test and explore as you like. Once you decide to subscribe to a paid plan, the setup wizard walks you through the essentials (locations, vehicles, prices, colours, logo) — typically 1–2 hours. The system is normally 100 % production-ready after 2–3 days, including a few test bookings. Of course our technicians are happy to help with the initial setup.
How does migration from my previous system work? ▼
We import your existing data (customers, vehicles, bookings) via CSV or direct database export. On Pro100/Promax plans we handle the entire migration for you. On average you are fully switched within 2–3 days.
Do I need special hardware for Pocket Office? ▼
No. Any smartphone with camera and browser works — iPhone, Android, doesn’t matter. No app required, nothing to install. The software runs straight in the browser, optimised for phone screens.
Is there training for my team? ▼
A 60-minute live training is included with the trial. From Pro100 onwards you also get personalised onboarding with screenshots and video walkthroughs for your team. Promax customers get a dedicated onboarding manager.
Is there a sandbox with demo data? ▼
Yes. Your trial tenant can come pre-filled with demo data (10 vehicles, 30 customers, 40 bookings across statuses), so you can try out statistics, calendar and workflows right away — without typing everything in first.

How accurate is the AI document recognition? ▼
The AI (GPT-4o-mini Vision) reaches over 95 % accuracy on good-quality images. Every result is presented for confirmation — never used blindly. Blurry or covered documents are reliably rejected and a new photo is requested.
What happens to scanned customer documents? ▼
Images are stored encrypted and only visible to you as the operator. After the legal retention period (typically 10 years for rental contracts in DE/ES) they are automatically deleted. On early customer GDPR deletion: gone immediately.
Does the software work offline? ▼
No, an internet connection is required. Data volumes are minimal though (no streaming, just API calls) — a weak mobile signal is enough. If the network truly fails on site, you can take notes on paper and enter them later.
What if a customer can’t complete the online check-in? ▼
No problem — you can complete the check-in at the desk via Pocket Office. Scan documents, collect signature, done. The customer doesn’t have to redo anything.
Can I mix Autopilot and Pocket Office? ▼
Yes. Autopilot is a tenant-level switch defining the default flow. You can step in per booking and run check-in yourself. The autopilot can also be turned off entirely (e.g. low season) and back on later.
Can I store my own contract texts and T&Cs? ▼
Yes. Rental contract templates (page 1 notices, page 2 conditions) are editable per tenant, separately for DE/EN/ES. Insert your own texts, store your T&Cs, decide which clauses appear where. Changes are active immediately for new bookings.
Does it also work for motorcycles, motorhomes or special vehicles? ▼
Technically yes — any vehicle with a licence plate and category can be added. Focus is car rental, but customers also use us for scooters, convertibles, campervans, vans. For very specific needs (e.g. boat charter) talk to us — small custom tweaks are often possible.
Do you support multiple locations? ▼
Yes, you can add as many locations as you like (airport, port, city centre, hotels) with individual opening hours and after-hours surcharges. From Pro100 onwards also with their own phone numbers per location.
Can I run the system in English or Spanish? ▼
Yes, the entire system is trilingual (German, English, Spanish). Language is detected automatically by browser and customers can switch manually. Email templates and contract texts are also editable in all three languages.
Is there an iOS or Android app? ▼
No — deliberately not. A native app would mean App-Store reviews and installs on every update. Pocket Office runs straight in the mobile browser, is touch-optimised, and can be added to your home screen as an icon (PWA). All users get updates instantly.
Payments & invoicing
Do I need my own Stripe account? ▼
Yes, you connect your own Stripe account — payments flow directly to you, we are never in between. Setup takes about 15 minutes, we help with onboarding.
What does VERIFACTU-compliant mean? From 10/2026 ▼
VERIFACTU is the Spanish tax authority (AEAT) e-invoicing requirement that becomes mandatory for all Spanish businesses. Every invoice is tamper-proof signed, immutably stored, and reported to AEAT in real time on request. Our system generates invoices VERIFACTU-compliant automatically — no separate software, no extra cost. For operators outside Spain the function is simply inactive.
Which currencies can my customers pay in? ▼
Default is EUR. Through Stripe other currencies are available (USD, GBP, CHF, DKK, NOK etc.) — payouts to your bank account in the currency of your choice. Conversion fees go to Stripe terms, not via us.
Can I set up discount codes and seasonal pricing? ▼
Yes. Create your own discount vouchers (percentage or fixed amount), time-limited, tied to specific vehicle categories or only for specific periods. Seasonal pricing (high/low) can also be set per vehicle category.
What happens if Stripe can’t hold the deposit? ▼
You receive an email immediately with the exact error (card expired, limit too low, 3DS required). In admin you see the failed hold flagged red — you can then either contact the customer or take the deposit in cash on site.
Do I get a VAT invoice for the subscription? ▼
Yes, automatically every month by email. With VAT shown, reverse-charge ready for EU businesses with valid VAT ID. Invoices are also available as PDF in the admin at any time.

What happens after the 14-day trial? ▼
After the trial expires your account is paused. You can export your data or convert to a paid plan. Without active action by you nothing happens — we don’t auto-charge.
Can I cancel monthly? ▼
Yes, every plan can be cancelled monthly to month-end. No minimum contract term. You receive a full data export before deactivation.
What if my fleet grows? ▼
You can upgrade to the next plan at any time — pro-rated, no restart.
Is there a discount for annual payment? ▼
Yes, with annual billing you get 1 month free (about 8 % discount). Switch any time from the admin area.
Data & security
Where is my data stored? ▼
Servers exclusively in Germany and Spain (EU). GDPR-compliant including DPA. Encrypted transfer (TLS 1.3), encrypted database backups.
How often are backups made? ▼
Daily automatic, 30 days retention. Additionally the last 24 hours are saved hourly via transaction log. In an emergency, point-in-time-restore to any hour can be requested.
Can I export my data at any time? ▼
Yes. Customer, vehicle and booking data can be exported as CSV or Excel. On request you also get a full SQL dump of your database — you keep full data sovereignty at all times.
What happens to my data after cancellation? ▼
90 days after cancellation all your data is fully deleted — including backups. Before deletion you receive a complete data export as ZIP. If you need longer, just write to us — we extend retention free of charge on request.
What uptime guarantee is there? ▼
99.9 % per month (max. 43 minutes outage). Pro100/Promax additionally include SLA credit on breach. Public status page with real-time monitoring.

How quickly does support respond? ▼
Basic & Pro50: first reply within 24 hours on business days. Pro100: priority support with 4-hour response time. Promax: dedicated account manager, 1-hour SLA including Saturdays.
How many staff members can I add? ▼
Basic: 1 user. Pro50: 3 users. Pro100: 10 users. Promax: unlimited. Per staff member you can finely control which functions they see (only bookings / also finance / settings etc.).
Can staff work from different places at the same time? ▼
Yes. One at the airport with Pocket Office, one at the office desktop, one at home — all see the same data in real time. Changes sync automatically, no manual reconciliation.
